Terms & Conditions

1. Acceptance of Terms

By creating an account or accessing the Flow platform, you agree to be bound by these Terms, our Privacy Policy, and any supplemental terms for specific features (e.g., integrations). If you use Flow on behalf of an organization, you represent that you are authorized to bind that organization.

2. Account Responsibilities & RBAC

You are responsible for maintaining the confidentiality of your credentials. Flow implements Role-Based Access Control (RBAC); you are responsible for the actions of any users you invite to your team. All actions are recorded permanently in an immutable audit trail for governance and security.

3. Clinical & Operational Compliance

Flow provides tools for case management and reporting. However, users remain solely responsible for ensuring that their workflows, clinical data processing, and result delivery methods comply with all local, national, and international laws and regulations.

4. Billing, Licensing & Overages

Flow operates on a tiered licensing model:

  • Subscription Limits: Each plan (Free, Flow Ultra) has specific monthly quotas for cases and communications.
  • Overage Billing: Usage beyond the base plan limit (e.g., 150 cases for Flow Ultra) is billed at a flat rate of $5.80 per additional case.
  • Cycle Management: Quotas reset each cycle. Overages and monthly plan charges are invoiced at cycle close and are payable by the invoice due date.
5. Third-Party Integrations

By enabling integrations with services like Google Calendar or Notion, you grant Flow permission to access data as described in the integration documentation. Flow is not liable for data handling practices or service availability of these third-party providers.

6. Data Ownership & Intellectual Property

You retain ownership of the clinical and operational data you submit. You grant Flow a limited license to host and process this data to provide the service. Flow software, branding, and infrastructure remain the exclusive property of Love's Designs.

7. Feedback Lock Mechanism

As part of our commitment to operational excellence, we may implement a 'Feedback Lock' where result delivery is contingent upon the completion of a quality review.

8. Termination & Suspension

We reserve the right to suspend accounts for term violations, payment failure, or security risks. Permanent audit logs will be retained even after account termination for institutional record-keeping.

9. Limitation of Liability

To the extent permitted by law, Flow is provided "as is" and we are not liable for incidental or consequential damages, including loss of data or clinical operational downtime.
